Define the batch in practical terms

Specify new, used or either, the number of vehicles, destination, accepted model families and the transmission types you can support. Identify the year range and condition evidence required. Keep optional colours and equipment separate from mandatory criteria so suitable candidates are not excluded for preferences that carry little commercial value.

If both original CS55 and PLUS are acceptable, ask for separate proposals and a clear specification mix. A single batch heading should not hide a different generation or gearbox. The version guide gives the identification fields your shortlist should retain from the beginning.

Use a candidate register with clear status

Create one record per VIN showing specification, quoted scope, evidence received, inspection status and preparation work. Use explicit states such as waiting for records, inspection arranged, repair pending and accepted for release. Retain rejected candidates with the reason rather than deleting their history.

Link photographs and reports to that record. A folder of unlabelled images becomes difficult to manage as quantities increase, especially when several cars share a colour. Record the dates of availability confirmations and require fresh evidence when an old offer is revived after a delay.

Choose consistency where it saves real work

A narrower range of supported gearboxes and equipment may simplify inspection, parts purchasing and sales preparation. Identical colours may be less valuable than a consistent service plan. Discuss the proposed mix with the workshop and identify which common features reduce practical effort.

Do not assume that a larger purchase automatically creates savings if it introduces unsupported units, unusual modifications or repair items with uncertain lead times.

Control the exceptions

Agree how a candidate that fails inspection will be handled. A replacement needs its own VIN-linked documents, specification and assessment. Do not automatically transfer the first car's approval to a substitute simply because the seller describes them as equivalent.

For repairs, define the accepted scope, responsibility and evidence of completion. Record whether the original symptom was retested. If an outstanding car threatens the release date, discuss the available order changes explicitly with the relevant parties. Filling a target quantity should not silently weaken the condition standard.

Reconcile the order before handover

Compare the accepted register with the vehicles, keys, accessories and paperwork actually ready for release. Record current odometer readings and condition photographs. Note changes since inspection and resolve them before the cars move to the carrier's handover point.

Keep quantity changes separate from quality changes

If fewer candidates meet the agreed standard than originally requested, show the accepted count and the outstanding quantity separately. Do not lower the condition threshold without an explicit commercial decision. A revised schedule or smaller complete group may be worth discussing with the relevant parties when suitable evidence is still pending.

Similarly, adding a different PLUS generation to complete a batch should trigger a specification and workshop review. The administrative convenience of filling one more position does not establish that the new configuration suits the same customers or preparation plan.

Before the next order, review why candidates were rejected and which requirements repeatedly needed clarification. This can improve the brief without changing valid acceptance criteria. Distinguish a preference that unnecessarily narrowed supply from an essential condition that protected the purchase. Those observations make repeat sourcing more efficient while retaining individual accountability for every vehicle selected.

Learn from the first completed batch

After receipt, compare actual preparation with the assumptions used to select the vehicles. Record missing information, unexpected work and which specification choices suited your customers. Use that experience to improve the next brief without turning one transaction into an unsupported claim about every CS55.
