Ask the destination adviser first

Provide the proposed VIN information, build date, original specification and intended use to your customs or registration adviser. Ask which records are needed for a candidate-specific review. Requirements may depend on the configuration and current destination rules; obtain confirmation for the actual vehicle before purchase.

Keep a dated response and its assumptions in the purchase file. If the candidate changes, ask whether the assessment remains applicable. A different year, powertrain or model family should not inherit an earlier answer without review. The vehicle specification record helps supply consistent information.

Identify the responsible parties

Record who sells the vehicle, who provides export services, who inspects it, who arranges transport and who receives it. The actual contracting entity and service scope must be clear in the commercial documents. Familiar branding should not replace checking that the names and instructions agree across the file.

Prepare a document responsibility list

Ask the export provider and destination adviser to define the required documents, formats and deadlines. Assign each item to the party supplying it. Verify VINs, names and relevant dates across the file before release. A sample from a previous shipment can explain a format, but it does not establish what is sufficient for the present transaction.

Retain corrected versions clearly and identify superseded documents so old details are not used by mistake. If a substitute CS55 is accepted, update the responsible providers rather than changing only an internal spreadsheet. The accepted vehicle and its documentation need to remain connected throughout the process.

Request a transport offer with accurate inputs

Give the carrier the required dimensions, weight definition, operating condition, quantity and handover points. Disclose accessories or faults that may affect movement. Do not use current PLUS data for an older original vehicle simply because the model names overlap. Ask which handling details need specific confirmation.

Obtain the proposed route, service, included charges, exclusions and timing assumptions from the provider. Availability of a particular transport method depends on the actual service. Where insurance is proposed, ask for its scope and claim procedure. A freight headline alone cannot explain the complete responsibility or cost.

Follow the actual carrier instructions

Request current instructions for fuel, batteries, keys, loose accessories and readiness. Assign the tasks and confirm completion before dispatch. Do not carry a remembered requirement from another route into this shipment without checking. If a car develops an issue affecting movement, disclose it and agree the response with the relevant parties.

Photograph the vehicle close to handover, including visible condition, odometer and existing damage. Count the supplied keys and accessories and obtain the receiving party's relevant record. Compare the release state with the accepted inspection and explain any change.

Use one current handover list

Near release, reconcile the vehicle register, document list and carrier instructions in one short review. The parties should agree which VINs are moving, which tasks are complete and which records accompany them. Keep unresolved items visible with the person responsible for closing them.

If a vehicle or its readiness changes after that review, notify the relevant providers and ask what needs revision. Do not leave the carrier working from a previous list while your internal record shows a substitute. Accurate communication is particularly important when original CS55 and PLUS vehicles are mixed in one order.

At receipt, compare the actual vehicles and accessories against that final version. This gives the receiving team a clear baseline and avoids confusion between a superseded candidate and an unexpected discrepancy in the shipment that was actually accepted.

Prepare the arrival review

Arrange who checks identity, documents, visible condition and accessories on receipt. Use the release photographs as a baseline and follow the applicable reporting process if differences are found. Keep observations factual and preserve evidence before further work where practical; documentation supports an investigation without guaranteeing a claim result.
